Overview

The Reception and Administrative Executive is the first point of contact for visitors and clients, providing a welcoming and professional environment. This role involves managing the reception area, handling administrative duties, and supporting various departments within the organization. The ideal candidate is organized, personable, and efficient, with the ability to multitask and manage a variety of responsibilities.

Responsibilities

  • Greet and assist visitors, clients, and employees in a friendly and professional manner.
  • Manage the reception area, ensuring it is clean, organized, and well-maintained.
  • Answer and direct phone calls, responding to inquiries and relaying messages accurately.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Coordinate meeting room bookings, ensuring rooms are prepared and set up as needed.
  • Provide administrative support to different departments, including scheduling meetings, managing calendars, and preparing reports.
  • Assist in the organization of company events, meetings, and staff functions.
  • Maintain office supplies inventory by checking stock levels and placing orders when necessary.
  • Prepare and manage documentation, filing, and data entry tasks.
  • Assist the HR and management teams with administrative tasks as required.
  • Handle travel and accommodation arrangements for staff when necessary.
  • Ensure timely and accurate communication with internal and external stakeholders.
  • Handle confidential and sensitive information with discretion.

Qualifications

  • Bachelor’s degree or equivalent in any relevant field.
  • 2-4 years of experience in a reception or administrative role, preferably in a corporate environment.
  • Excellent communication and interpersonal skills, with a customer-service orientation.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Professional appearance and demeanor.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.
  • Attention to detail and the ability to maintain confidentiality
